When you register for the Service, we collect your email address and your password (stored as a one-way cryptographic hash — we cannot see it). Lawful basis: contract (necessary to provide the Service).
When you set up your business profile, we collect your business name, address, phone number, email address, VAT registration number (if applicable), logo (if uploaded), and preferred invoice settings. Lawful basis: contract.
When you add clients, we store the name of your contact, their company name, email address, phone number, address, VAT number, and any notes you add. You are the data controller for your clients' data; we process it on your behalf as a data processor. You are responsible for ensuring you have a lawful basis to store your clients' personal data in our system. Lawful basis: contract and legitimate interests.
We store the invoices, quotes, line items, time entries, and expense records you create. Note: we are also required by law to retain certain financial records for 6 years (a requirement of His Majesty's Revenue and Customs (HMRC)). Lawful basis: contract.
When you subscribe to a paid plan, your payment is processed by Stripe. We do not store your full card number, expiry date, or CVV. Stripe stores this data under their own privacy policy and PCI DSS compliance. We receive and store only a payment token and basic billing information (last 4 digits, card type, billing country). Lawful basis: contract.
We collect limited technical data including pages visited and features used (without personally identifiable content), device type, browser type, and operating system, IP address and approximate location (country/region), and date and time of access. Lawful basis: legitimate interests.
We store records of emails sent through the Service (invoice delivery, reminders) including send status and whether an invoice has been viewed. Lawful basis: contract.
If you enable browser push notifications, we store your push subscription token. Lawful basis: consent. You can withdraw consent at any time by disabling notifications in your browser settings.
We use your data to provide, maintain, and improve the Service; process your subscription payments; send you invoices and service notifications (not marketing); respond to your support requests; comply with our legal obligations (including HMRC record-keeping requirements); detect and prevent fraud and abuse; and enforce our Terms of Service.
We do not sell your data to third parties, use your data to train AI models, send you marketing emails without your explicit consent, or share your data with any third party except as described in section 4.
We share your data only with the following trusted third parties, who process it on our behalf as data processors:

We have data processing agreements in place with each of these processors. We may also disclose your data where required by law, court order, or to cooperate with law enforcement or regulatory authorities.
Some of our processors are based outside the UK (see table above). Where data is transferred outside the UK, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the UK Information Commissioner's Office (ICO), to ensure your data receives the same level of protection as it does under UK law.

Despite these measures, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

We use a small number of essential cookies required for the Service to function (session management, security). These cannot be disabled. We do not use advertising or tracking cookies. See our Cookie Policy for full details.
The Service is not directed at children under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
We may update this Privacy Policy from time to time. We will notify you of material changes by email at least 30 days before they take effect. The "last updated" date at the top of this page will always reflect the current version.
